Our Terms and Conditions
Contractual Agreement
You must be 18 years of age to make a booking. You agree to provide full, complete and accurate information to the best of your ability.
You will receive standard information about your arrangements and details of the main events and characteristics before a binding agreement between you and us come into existence. That information, these conditions together with our Privacy Policy and any other written information we brought to your attention before we confirmed your booking, form the basis of your contract with us.
I expressly agree and acknowledge that the terms and conditions of this Agreement are contractual in nature and that I am signing this agreement, as is and without edits, of my own free will.
I expressly acknowledge that I am not under the influence of drugs or alcohol at the time of my signing of this document and that there are no other impediments or reasons why I would lack the capacity to enter into this agreement with AV Holistic Ltd.
We do our best to ensure the accuracy of all the information and prices in our advertising material. However, occasionally changes and errors do arise and we reserve the right to correct them in such circumstances. Please make sure you check the current price and all other information relating to the retreats that you wish to book before your booking is confirmed.
Our agreement becomes binding when we issue a confirmation. Please check all details on the confirmation immediately and let us know if any correction needs to be made in any documentation within 10 days of receipt of confirmation, as it may not be possible to make any changes later on.
The price
We reserve the right to amend the price of unsold holiday arrangements at any time. All prices are quoted and payable in EURO currency to AV Holistic Ltd. bank account by bank transfer.
Payment terms
You must make payment for your arrangements in accordance with the instructions we give you. We will require a minimum 30% deposit before we issue our confirmation. Balance payments are due 8 weeks prior to the event. If we do not receive any payment due in full and on time, we reserve the right to treat your booking as cancelled by you in which case the cancellation charges will be applied as written below. In the case of international payments, you must ensure that we receive the full EUR amount. You will be responsible for all bank charges, withholding taxes.
Cancellations policy and requested changes to your booking
For customer cancellations, AV Holistic Ltd. will require written notice of cancellation via confirmed email. Any refunds will be subject to a 7% administration and bank fee.
If cancellation occurs within 8 weeks prior of the retreat start date, you will loose your deposit.
If cancellation occurs within 5 weeks prior of the retreat start date, 60% of the total cost of the retreat will be charged. If cancellation occurs less than 5 weeks of the retreat start date, 100% of total cost of your holiday will be charged.
If cancellation of a party member results in under-occupancy of a room, those remaining must pay the appropriate empty bed charge.
You may transfer your trip to another person or another one of our retreats at no cost prior 8 weeks of the event.
In case AV Holistic Ltd. cancels your trip, you will be credited the amount we have received at the cancellation date.
This does not apply to adverse weather conditions, as will not cancel a trip due to adverse weather, but we may adapt the planned itinerary for reasons of safety at the discretion of our expert guides.
In the event we can meet your requested change, you will have to pay 30 EUR per alteration per person per change as well as any applicable rate changes or extra costs incurred as well as any costs incurred by ourselves and any costs or charges incurred or imposed by any of our suppliers. Amendments include: changing number of guests (reduction or addition), retreat date change and guest details, if the change is within the cancellation terms above.
Requests for amendments must be made at least 12 weeks before the start date of the retreat. If we are unable to make alterations as you requested (for example due to other retreat being booked up, or we are unable to sell your space) and you do not wish to continue with the booking then our cancellation charges (above) apply.
Changes and cancellation by AV Holistic Ltd.
If we make an small change (e.g. change of hike location or order of events) to the main characteristics of any arrangements we will try to notify the change to you as soon as reasonably possible before your departure but we will not notify you about any other insignificant change.
Occasionally, we have to make a significant change and we reserve the right to do so. A significant change is one where we significantly alter any of the main characteristics of your confirmed arrangements. If we have to make a significant change or cancel before departure, we will inform you without undue delay and if there is time to do so before departure, we will offer you the choice of the following options:
1) agreeing to the changed arrangements, or
2) accepting the cancellation or terminating the contract for the arrangements and receiving a refund that was paid to us; or
3) accepting an offer of alternative arrangements of comparable standard from us, if available.
In the event that any proposed change or alternative offered results in a reduction or increase in the price you have agreed to pay or an increase or decrease in the quality of arrangements we have agreed to provide.
You must notify us of your choice within 7 days of our offer. If you fail to do so, we will contact you again, re-iterating the above choices and sums payable or refundable and if you again fail to respond within 7 days, we may terminate the contract and refund all payments made by you without undue delay.
Travel Insurance
It is your responsibility to ensure that the insurance you purchase is adequate and appropriate for your particular needs while you are on holiday with us. Such insurance as a minimum must cover your losses sustained as a result of a cancellation, medical issues, and repatriation in the event of accident or illness. If you choose to travel without adequate insurance cover, we will not be liable for any of your losses howsoever arising, in respect of which insurance cover would otherwise have been available.
Medical conditions and disabilities
You understand that yoga, nature adventures and activities can be physically demanding. Our retreats are normally suited to all levels of fitness, however it involves physical exercise. It is advisable to contact us before you book/reserve one of our retreats to check if with your reduced mobility or medical conditions we can accommodate you safely on our retreat. If we are unable to do so, we will not confirm your booking. However, if you did not give us full details at the time of booking, we will treat it as cancelled by you when we become aware of these details.
Special requests - dietary requirements, allergy etc
Special requests relating to your arrangements must be advised to us at the time of booking and confirmed to us in writing. We will do our best to accommodate your special request, however we cannot guarantee that they will be fulfilled. The failure to meet the special requirements and confirmed in writing will not be a breach of contract on our part.
Unavoidable and extraordinary circumstances
Except where otherwise expressly stated in these booking conditions we will not be liable or pay you a price reduction or compensation if our contractual obligations to you are affected by unavoidable and extraordinary circumstances beyond the control of the party who seeks to rely on them which we or the supplier(s) of the service(s) in question could not avoid even if all reasonable measures had been taken. These events can include but are not limited to war, the threat of war, civil strife, terrorist activity and its consequences or the threat of such activity, riot, the act of any government, pandemics or epidemics, industrial dispute, lock closure, natural or nuclear disaster, fire, chemical or biological disaster and all similar events outside our or the supplier(s) control. Advice from the Foreign Office to avoid or leave a particular country may constitute unavoidable and extraordinary circumstances.
Complaints
If you experience difficulty during your retreat, please inform us without undue delay so that we can take steps to assist you or put things right. We cannot accept any liability, if we are not informed immediately. If, after the issues raised have not been remedied, you should contact us by emailing info@aostavalleyholistic.com and put in writing the reasons for your complaint.
AV Holistic’s Responsibility
AV Holistic Ltd. will provide the services, as confirmed by email. Please check your confirmation email carefully and report any incorrect or incomplete information to AV Holistic immediately as stated above.
AV Holistic Ltd. select the suppliers of the services making up your booking with us using reasonable skill and care. We have no liability to you for the actual provision of the services, except in cases where it is proved that we have breached that duty and damage to you have been caused. We will have no liability to you for anything that happens during the service in question or any acts or omissions of the supplier, its employees or agents.
AV Holistic cannot take any responsibility for damage or loss to property and / or individuals during a trip.
Will not be responsible, make a price reduction or pay compensation for services or facilities which do not form part of our agreement or where they are not advertised by us. For example any excursion you book while away, or any service or facility which your hotel or any other supplier agrees to provide for you.
Jurisdiction and applicable law
These Booking Conditions and any agreement to which they apply are governed in all respects by English law. We both agree that any dispute, claim or other matter which arises between us out of or in connection with your contract or booking will be dealt with by the Courts of England and Wales only.
Passport, Visa
It is your responsibility to check and fulfil the passport, visa, health and immigration requirements applicable to your itinerary. We can only provide general information about this. You must check requirements for your own specific circumstances with the relevant Embassies and/or Consulates and your own doctor as applicable. Requirements do change and you must check the up-to-date position in good time before departure.
Most countries now require passports to be valid for at least 6 months after your return date. If your passport is in its final year, you should check with the Embassy of the country you are visiting. For further information contact the Passport Office on 0870 5210410 or visit www.passport.gov.uk

We do not accept any responsibility if you cannot travel, or incur any other loss because you have not complied with any passport, visa, immigration requirements or health formalities. You agree to reimburse us in relation to any fines or other losses which we incur as a result of your failure to comply with any passport, visa, immigration requirements or health formalities.
Transfers
At the moment AV Holistic Ltd. do not provide an in-house airport transfer, however, we can arrange one for you on request at a cost of the transfer company provide. We also create a WhatsApp group of the fellow retreat participants before your departure and can arrange a shared transfer between you all. AV Holistic is always there to help with any arrangements.
Aosta Valley Holistic Ltd provide free transportation service to attend on our organised events, the use of this service is taken entirely at your own risk and Aosta Valley Holistic Ltd take no responsibility for death or personal injury caused through the use of this service. Please note that the use of the vehicle is provided free of charge and does not form part of the holiday cost. However, if you need transportation to an event or activity that is not included in the official confirmed itinerary of the retreat (e.g. additional recommended activities) but you would like to attend during your down time, the transportation is at an extra charge. We can help you to arrange taxi or other transportation.
Photography, Media
We take the data privacy of our guests very seriously and are committed to abiding by the associated governing laws. Please be notified when you book with us, you give us permission that any images or video footage taken during your retreat or holiday and shared by AV Holistic, other members of your group or any media you have shared can be used for marketing purposes on our website, social media, email marketing, marketing materials/channels.
